The Village Association (VA) AGM was held on Tuesday 23 November at CBCT’s Officers Mess building at the entrance to The Village.
The meeting was attended by VA Directors along with representatives from Hazelvine. Residents from circa 15 properties joined the meeting.
Jon Forde chaired the meeting and started by giving a review of the VA’s work during the year.
This included:
Details of the maintenance and repair work undertaken, including repairs to pathways by the play park where tree roots have pushed up the tarmac and the repair and resurfacing of the VA owned part of Gowrie Place.
An update on the tree survey undertaken in April and subsequent work undertaken to many of the 362 trees within The Village.
An overview of the work and challenges dealt with by the Warden team over the past 12 months which included a significant number of anti-social behaviour instances and threats and abuse to residents and the Wardens.
The work and challenges faced throughout the year by our landscaping contractor, Acacia.
An overview of the VA’s work in lobbying Surrey, Tandridge and the Parish Councils and the ongoing engagement of the Police and CBCT.
Finally, an overview of the VA’s engagement with residents and members undertaken throughout the prior year.
Looking at the financials, the final spend for the year to 31 December 2020 was reviewed and discussed as was the budget for 2022, with a specific mention to the 8% increase in the service charge to build up future reserves in anticipation of future maintenance costs.
The VA outlined its plans and focus for 2022 which includes:
Planning for further repairs to pathways.
Review of further large maintenance jobs.
Conclusion of the work highlighted in the tree survey.
Recruitment of new Directors to the Board.
Ongoing resident engagement through Surgeries and other events.
Progression of new road signs highlighting the history of those the roads are named after.
The final formal agenda piece was the resolution and voting for the re-appointment to the VA Board, which the VA is pleased to confirm the re-appointment of Jon Forde as a Resident Director for the next 3 years.
We followed the formal agenda with a Q&A session where questions included plans for CCTV extension, options for access and exit points for those intent in causing anti-social behaviour issues, representation of ethnic minority groups on the VA Board and additional vehicle access/exit points for The Village.
The VA board wish to thank all those who attended and those who sent in proxy votes for their participation. We look forward to continuing our engagement with residents, businesses, and all users of The Village over the coming year.
