The Village Association (VA) AGM was held on Thursday 24 November 2022 at The Officers Mess, Coldstream Road.
The meeting was attended by VA Directors and representatives from Hazelvine Limited. Alasdair James and John West from the Warden Service and residents from circa 13 properties joined the meeting.
Jon Forde chaired the meeting and started by giving a review of the VA’s work during 2022.
This included:
• The focus this year has been on safety work and remedial maintenance for the development including the drains clearance in the area.
• The pathway around the Cricket Green has been repaired where tree roots have pushed up the tarmac
• Some smaller signage around the Village has been replaced and a number of broken fences and trellises have been repaired.
• The VA is responsible for 362 trees and has a legal obligation to undertake a tree survey every three years. The outstanding work highlighted in the tree survey conducted in April 2021 has been completed.
• The key piece of work this year has been the replacement of the road signs highlighting the history of those the roads are named after. A short video of the unveiling ceremony in July 2022 was shown during the meeting.
• An overview of the work and challenges dealt with by the Warden team over the past 12 months which included a significant number of anti-social behaviour instances and threats and abuse to residents and the Wardens.
• The work and challenges faced throughout the year by our landscaping contractor, Acacia.
• Finally, an overview of the VA’s engagement with residents and members undertaken throughout the year.
The VA outlined its plans and focus for 2023 which includes:
• Reviewing capital expenditure in terms of planning for further repairs and maintaining the site.
• Review of further large maintenance jobs.
• Recruitment of new Directors to the Board.
• Establishing the Village Helping Hands initiative.
• Ongoing resident engagement through Surgeries and other events.
• Ongoing engagement with Surrey County Council, Tandridge District Council, Parish Councils, the Police and CBCT.
Finances
Simon Nunn presented the year end accounts for 2021 and the 2023 budget. The final spend for the year to 31 December 2021 was reviewed and discussed as was the budget for 2023, with a specific mention to increasing the reserve funds.
Resolutions and voting for appointment and re-appointment to the VA Board.
• Andy Buchan was re-appointed as a Resident Director for the next three years.
• Gary Leatherby was re-appointed as a Business Director for the next three years.
• Richard Williams was re-appointed as a Resident Director for the next three years.
• Sue Pozzoni was appointed as a Resident Director for the next three years.
• Livia Ralph was appointed as a Resident Director for the next three years.
The meeting was followed with a Q&A session where questions included plans for CCTV extension, the level of anti-social behaviour incidents, increasing yellow lines in certain areas and parking issues.
